How Wine Clubs work in InVintory — for wine storage facilities, restaurants, and hospitality businesses managing member collections.

Wine Clubs in InVintory are designed for wine storage facilities, restaurants, country clubs, and hospitality businesses that manage wine on behalf of members. If you're a business with clients who store wine with you, Wine Clubs lets you manage their collections within InVintory.

What Wine Clubs Do

A Wine Club connects a business's collection with its members. The business manages the master collection and storage locations, while members can:

  • View their allocated wine stored at the facility

  • See which storage location their bottles are in

  • Track their collection's value

Roles

Wine Clubs have two main roles:

  • Employees — Staff who manage the collection, add/remove bottles, and handle member storage. Employees can be admins or editors with different permission levels.

  • Members — Clients who store wine at the facility. Each member is assigned to one or more storage locations.

Managing Members

From the home screen, the Members section shows all wine club members and pending invites. You can:

  • Invite new members — Tap Invite to send an email invitation

  • Assign storage — Link each member to their storage location

  • Resend invites — For members who haven't accepted yet

  • Remove members — Remove a member's access to the wine club

Storage Assignments

Each storage location (cellar or fridge) can be assigned to one or more members. This is how members know where their wine is stored. Unassigned storages show "Unassigned" in the storage list.

Kiosk Mode

Wine Clubs support a Kiosk Mode for shared devices at your facility. Employees enter a passcode to log in, and the app can be locked to the wine club view. This is useful for tasting rooms or storage facility check-in stations.

Tips

  • Use descriptive storage names — Name storages after their physical location (e.g., "Locker 42", "Cave B - Row 3") so members and staff can find bottles quickly.

  • Assign storages promptly — When a new member joins, assign their storage right away so they can see their wines immediately.
