How to print a restaurant-style wine list

Turn any part of your collection into a formatted, printable wine list — grouped, priced, styled, exported as a PDF or a link.

You can turn any part of your collection into a formatted, printable wine list — grouped, priced, styled, and exported as a PDF, a shareable link, or a QR code.

Requires a paid plan. Removing the InVintory logo needs Elite or Enterprise — on Premium the toggle is greyed out and the logo stays on the finished list.

Getting to the wine list builder

Home → More → Create Wine List

On iPhone, tap More beside the Add and Remove buttons, then Create Wine List — the same option sits in the add menu on the tab bar. Every wine in your collection is included by default; tap the Wines row to narrow it down.

Collection → select wines → ⋯ → Create Wine List

Or start from a selection: on your collection page, tap the circle beside each wine you want (or Select All), then tap and choose Create Wine List. This is the better route when you only want part of your cellar. iPad works the same way, and so does Android. On the web app, open your collection at app.invintory.com and click Create Wine List in the row of buttons above the table.

Grouping: two levels, or three

This is the setting that shapes the whole list. You give it a Heading and a Subheading — both are required — and optionally a Sub-subheading, for up to three nested levels, outermost first.

The outermost heading is one of Wine Type, Country, Region or Sub-Region. The levels beneath it add Grape Variety and Alphabetical, and each level only offers dimensions that still divide the one above it — choose Region as your heading and Country disappears from the levels below, because it would print one bottle per heading. Nothing nests under Alphabetical.

Wine Type → Grape Variety → Region

That example renders as White, then Chardonnay beneath it, then Burgundy beneath that, with the matching bottles listed under the innermost heading. Three is the maximum, because the PDF only styles three levels of heading.

For a restaurant or a dinner party, wine type → grape variety is the pairing guests read most easily. Add region as a third level only if your list is long enough that each grape has several regions under it — otherwise you get headings with one bottle each. The third level is not on Android yet.

Everything else you can set

Setting

Options

Title

Anything you like, up to 30 characters — “Rachel's dinner party”, “Ocean Prime wine list”

Sort by

Alphabetically, by vintage, or by market price — the last two in either direction. This orders the bottles inside each innermost heading

Page break before headings

Start each heading on a new page. On by default

Wine information

Price, drink window, quantity, origin, grapes, bottle size, storage location — or none of them

Which price

Market price or purchase price

How the price prints

Round the figure up, and show or hide the currency symbol

Style

A background colour, a text colour, and a font theme. The theme sets the fonts, sizes, spacing and capitalisation for every part of the list at once, and each theme tile previews in the colours you picked

Selling price is part of Enterprise. On every other plan the price options are market price and purchase price.

Turn quantity off for a guest-facing list — it tells the table how much you have left, which is rarely what you want them to see.

Sharing the finished list

Tap Create Wine List. Building it can take up to a minute. When it is ready you get three buttons: Download for the PDF, Copy URL for a link you can send to someone without printing anything, and QR Code for a code you can put on a table.

On iPhone and iPad the QR Code button needs Elite or Enterprise. Premium gets Download and Copy URL. Android and the web app offer all three on any paid plan, so a Premium collection can still produce the code from either of those.

Save the PDF or copy the link before you leave the screen. The app does not keep a list of the wine lists you have built, so once you close it the link is not something you can look up again — you would build the list a second time.

About the link

What that means for you

Anyone who has it can open it

No account, no app and no sign-in — which is what makes it work for guests. Only send it to people you are happy to show the list to

It is a snapshot, not a live view

The PDF is written once. Drink a bottle and the list still shows it, so build a fresh list when the cellar has moved on

There is no way to switch it off

A link you have sent keeps working. Leave prices and quantities out of a list you expect to be passed around

The QR code points at that same link, so scanning it opens the same PDF.
