How to add a new wine to our database

Can't find a wine? Submit it — you can add it to your collection straight away while our team reviews it.

If a wine isn't in our catalogue, you can submit it yourself — and you don't have to wait for it to be reviewed before you start using it.

You don't have to wait for the review. The moment you submit, the wine turns up in your own search results and you can add bottles of it to your collection. Everyone else only sees it once it has been approved.

Getting to the form

Every platform opens the same Add to database form, and on all three you search for the wine first. When nothing matches, the prompt to submit it appears — you don't need to do anything clever to make it show up.

iPhone & iPad:  + Add → search for the wine → Can't find a wine?
Android:  search for the wine → Can't find your wine? → Submit for Review
Web:  app.invintory.com → search for the wine → Submit for Review

On iPhone and iPad you can also tap New in the top right of the wine search screen to go straight there.

Filling in the form

There are two ways through it, and you need one or the other — a submission with neither a label photo nor a link can't be accepted.

With the bottle in front of you

  1. Upload photos of the label — the Front and the Back. Each photo is checked automatically, and if the text can't be read you'll be told so you can retake it.

  2. Pick the Type — red, white, sparkling, and so on.

Without the bottle

  1. Tap I can't add a photo of the label. Don't upload a blank or placeholder image — use this option instead.

  2. Enter the Wine name — producer and wine, for example “Antinori Tignanello”.

  3. Paste a Link to the wine. Both the name and the link are required on this route.

  4. Pick the Type.

The link has to come from one of the sites listed under the field — CellarTracker, Vivino, Wine Searcher, K&L Wines or Wine.com. A winery's own page or a shop we don't recognise is rejected with “we only accept links from the sites listed below”.

Then tap Next. We check the catalogue for the same wine under a different spelling, and if we find one we show it to you — Is this your wine? — so you can use the existing entry instead of creating a duplicate. Confirm, and you'll see Submitted to database.

What happens after you submit

Straight away

The wine is in your search results and you can add bottles of it. Other people can't see it yet.

During review

We read the label and try to fill in what's missing — producer, region, grape varieties, food pairings, market price. Most of that happens automatically; a person picks it up when something can't be resolved.

When it's settled

Approved wines join the shared catalogue for everyone, and you get an email and an in-app notification. If we can't accept the submission you're told the same way — and any bottles you already added stay in your collection.

Those notifications are the Wine submissions category in your notification settings, so you can turn them off if you'd rather not hear back.

A clear, well-lit photo of the front label, or a link from one of the accepted sites, is what makes a submission usable. It helps to stand the bottle on a flat surface before you shoot.
