How to add bottles to your collection

Three ways to add wines — search, scan, or import. Step-by-step guide with all the details you can set.

There are three main ways to add bottles to your InVintory collection:

  • Search — Look up a wine by name, producer, or region

  • Scan — Point your camera at a wine label

  • Import — Upload a spreadsheet, or import from CellarTracker or Vivino

This guide walks through the search method step by step — the most common way to add bottles on any device.

Step 1: Open Add to Collection

Tap the + Add button on the home screen. You'll see the Add to Collection screen with a search bar.

You can also tap Scan Wines on this screen to switch to label scanning instead.

Step 2: Search for Your Wine

Type the wine name, producer, or region into the search bar. Results appear as you type, showing the wine name, origin, and varietal.

Tap the wine that matches your bottle.

Step 3: Select the Vintage

A vintage picker appears with two sections:

  • Popular vintages — Quick-select buttons for the most common years

  • All vintages — A scrollable list of every year, starting with N.V. (non-vintage)

Tap the vintage that matches your bottle.

Step 4: Fill in the Details

Now you'll see the Add to Collection form with the wine info pre-filled at the top. Here's everything you can set:

Quantity

Use the + and buttons, or tap a quick-add number: 1, 3, 6, 12, or 24.

Bottle Info

  • Vintage — Pre-filled from the previous step. Tap to change.

  • Size — Defaults to 750ml (standard). Tap to change for magnums, half-bottles, splits, and more.

Storage Info

  • Storage — Which cellar or fridge to place the bottles in. The app remembers your last-used storage.

  • Bottle location text — An optional note for the specific spot (e.g., "Rack 3, Shelf B").

Source

Where you purchased or received the wine. Tap to select from your existing sources or create a new one (wine shop, winery, online retailer, auction, etc.).

Notes

Add any personal notes about the wine — why you bought it, who recommended it, or anything else.

Purchase Details

  • Price — What you paid per bottle. Tap the currency code to change currencies.

  • Date — When you purchased or received the wine. Defaults to today.

Personalization

  • Tags — Apply custom tags to organize your collection (e.g., "Gift Ideas", "Dinner Party", "Investment").

Custom Fields

If you've set up custom fields for your collection, they'll appear at the bottom. Custom fields are applied to all bottles being added.

When you're ready, tap Confirm.

Step 5: Done!

You'll see a confirmation card with the wine image and how many bottles were added. From here you can:

  • Scan again — Tap the camera icon to scan another label

  • Search again — Tap the gold button to search and add another wine

  • Done — Close and return to the home screen

Adding a Wine That's Not in the Database

If you can't find your wine in search results, tap + New in the top-right corner of the Add to Collection screen. This lets you manually enter the wine details and submit it to our team for review.

Tips

  • Be specific with searches — Include the producer name for best results (e.g., "Opus One" rather than just "Cabernet").

  • Quick-add quantities — If you bought a case of 12, just tap the "12" button instead of pressing + twelve times.

  • Default storage — The app remembers your last-used storage, so you only need to set it once per session.

  • Bulk adding — After adding one wine, tap "Search again" to immediately add the next one without going back to the home screen.

  • Import for large collections — If you have 50+ bottles to add, consider using the import feature instead. Go to + Add → + New, or visit app.invintory.com/get-started/instructions for import templates.
